What we collect
- When you report a concern: the block and lot, where and when it happened, what happened, your name and contact details, and whether you asked to stay anonymous.
- When you register a pet: the owner’s name, address (block, lot, street), phone and email, whether you are a homeowner or tenant, details about the pet, your typed signature, and copies of the rabies certificate, the veterinary registration card and a photo of the pet.
- For both: the date and time, and a scrambled code made from your internet connection address. It is used only to limit spam, and we cannot turn it back into your address.
Why we collect it
To handle reports and registrations, to apply the Deed of Restrictions and the HOA’s pet guidelines, to issue pet tag numbers, and to contact you if needed.
Who can see it
- Only signed-in committee members and authorised HOA officers. It is not shown to your neighbors.
- The name of a person who reports a concern is kept confidential as far as reasonably possible.
- If you choose to stay anonymous, your name is hidden from the committee. An authorised Board officer can reveal it only if the form is being misused, and every such step is recorded.
- We may share information with the proper authority when needed, for example the City Veterinary Office for danger to people, suspected rabies or animal cruelty.
Where it is kept
On Cloudflare’s online services, protected by a sign-in with emailed codes. Uploaded documents and photos are private and have no public web address.
How long we keep it

Your choices
You may ask to see, correct or delete your details, or object to how they are used, by contacting the HOA office or a committee member. Some records may need to be kept under HOA rules.

Gamiton lang ang imong detalye aron atubangon ang imong report o registration. Ang mga miyembro lang sa committee ug awtorisadong opisyal sa HOA ang makakita. Dili ipakita ang imong ngalan sa imong silingan. Mahimo kang mangayo nga tan-awon, ayuson o papason ang imong detalye pinaagi sa pagkontak sa HOA office o sa usa ka miyembro sa committee.
